Privacy Policy
Wellcoaches Corporation recognizes the importance of protecting the privacy of information provided by customers of our website, subscribers, members, students, certified coaches, event registrants, and purchasers of products. We created this policy with a fundamental respect for our customers' right to privacy and to guide our relationships with our customers. This privacy statement discloses the privacy practices for all products and services of Wellcoaches.

Registration, Membership, Certification, and Surveys
When registering for any course, signing up for membership, or applying for certification through our web site, customers are required to provide their contact information (such as name, mailing address, e-mail address and phone number). We also may collect demographic information (such as title, company information, and areas of interest, age, area of study, etc.). This information is stored in our secure Customer Record Management System (CRM), Keap. For internal purposes, we use this information to communicate with customers, provide requested services, and understand the demographics to better serve our customers. This information also helps us to determine eligibility for courses, certifications, and discounts. For external purposes, we do provide relevant data, such as attendance and certification records, to continuing education partners and other certifying bodies.
For customers participating in programs that require peer-to-peer student collaboration, student names and email addresses are shared with all students enrolled within the same cohort to enable contact with each other for practicing.
For our services that require payment (such as course registration, membership, events, and products), we also collect credit card information through Keap and PayPal (such as card holder name, credit card number, billing address, credit card security code and expiration date), which is used for billing purposes only, and is not otherwise shared.
Upon request from the customer, we can immediately delete specific biographical information about a customer, or their entire record with the acknowledgment that deleting a record will eliminate our ability to communicate with the customer in the future.

For our web site visitors, we collect IP addresses and referring sites to provide a more personalized experience on our sites, to honor royalty agreements with our partners, and to better understand how and why web traffic is directed to us. We use aggregate demographic information about our audience to improve our service, for marketing purposes and/or industry reporting purposes.
We also often invite customers to provide information via surveys. Participation in these surveys is completely voluntary, unless required for course completion and Certificates of Attendance, and the customer, therefore, has a choice whether to disclose requested contact information (such as name and mailing address) and demographic information (such as zip code or job title). In addition to other uses set forth in this policy, contact information collected in connection with surveys is used to monitor or improve the use and satisfaction of our programs.
Interactive Features
Through some of our courses, we offer interactive and community features such as discussion forums. Note that all personal information sent or posted via such features becomes public information for which we are not responsible.

Communications from Us: Service Updates, Special Offers
In order to best serve our customers, we may send updates that contain important information about our programs, membership, and certification. For example, we send new students a welcome message, and verify password and customer name for our password-protected sites. We may also communicate with a customer to provide requested services and for account-related issues via e-mail, phone or regular mail. We offer our customers the option to receive information about our organization, programs, and other offerings. Customers are provided with an option to “opt-in” to receiving information and must actively indicate that we have permission for communication. Keap also requires that we indicate if we have such permission when adding a new customer. Customers may also choose not to receive these communications at any time, however, if a customer opts out of all communication, they will also no longer receive information regarding certification deadlines, continuing education opportunities and other information relevant to maintaining an active certification or membership. Customers may also opt-out of receiving marketing information only.

Automatic Data Collection
Our web sites have features that automatically collect information from customers, to deliver content specific to customers' interests and to honor their preferences. This information assists us in creating sites that will serve the needs of our customers.

We use "cookies," a piece of data stored on the customer's hard drive containing information about the customers. Cookies benefit the customers by requiring login only once, thereby saving time while on our site. If customers reject the cookies, they may be limited in the use of some areas of our site. The use of cookies and pixels enable us to track and target the interests of our customers to enhance the experience on our sites.

For our internal purposes, we gather date, time, browser type, navigation history and IP addresses of all visitors to our site. This information does not contain information that can identify customers personally. We use this information for trend analysis and system administration, and to gather broad demographic information about our customer base for aggregate use. This information can also allow us to provide improved customer technical support.

We may combine demographic information supplied by a student or member at the time of application with site usage data to provide general profiles, in aggregate non-personally identifiable form, about our customers and their preferences in the content of the site.
Students and members may update their personally identifiable information (such as a change in address, email, or phone number), by logging into the CustomerHub portal, or by contacting their Coach Concierge.

Security
We use industry-standard encryption technologies when transferring and receiving your information. Data is housed at secure servers through our vendor partners Keap, Alchemer and LearnUpon. Additionally, data collected by Wellcoaches is stored on secure servers through our hosting service, Hostek. When accessing student or member accounts, or Wellcoaches-provided email, customers log in through secure https portals.

Data collected for the Wellcoaches Well-being Assessment is entered through a secure https address and stored on Hostek servers. When data is shared with the coach or the client, it is shared as an encrypted PDF which is able to be deleted by either party.

Members entering information on the Wellcoaches-hosted marketing site should note that the information provided by the coach will be published and made fully public, including email and telephone numbers if the coach chooses to enter such information into their personalized website. All personal information sent or posted via such features becomes public information for which we are not responsible.

Similarly, Certified Coaches who have chosen to be listed on the Wellcoaches “Find A Coach” search tool, will have the information they choose to share listed on a public website that is shareable and not secure. All personal information sent or posted via such features becomes public information for which we are not responsible.

Links
Our web sites and emails contain links to other sites. Wellcoaches is not responsible for the privacy practices or content of such other sites. We encourage our customers to be aware when they leave our site and to read the privacy statements of each web site to which we may link that may collect personally identifiable information. As well, we are not responsible for the misuse of Wellcoaches' name, products or services listed on other sites.

Notification and Changes
If we change our privacy policy, we will post those changes on this page so our customers are aware of what information we collect, how we use it and under which circumstances, if any, we disclose it. Customers should check this policy periodically to keep abreast of any changes.
